PARKS AND RECREATION REFUND POLICY

Purpose

 

To adopt a fair and equitable refund policy for all fee based classes, programs, and leagues that allows for sufficient cancellation time for programs with participant deficits.

 

Coverage

 

This policy, upon adoption by the Town Council, shall be applicable to all individuals registered in fee based programs conducted by the Parks and Recreation Department until such time as it is altered, modified, or rescinded by the Town Council.

 

Policy

 

General Statement

 

Class, program and league fees are 100 percent refundable when a class, program or league is canceled by the department. A participant wishing to withdraw from a class, program or league that has not been canceled by the department must request a refund in writing at least five working days before the scheduled start of a class, program or league game. The participant may receive a 100 percent credit good for one year (except for adult team leagues for which no credit is given) or may request a refund minus a $5.00 processing fee per participant per class, program or league (except for adult team league refund fee that is 25 percent of registration). After the five working day period, refunds will not be given except for verified medical/hardship cases.

 

Exceptions

 

Refund policies set for special events and rentals are excluded from this policy.

 

Special circumstances regarding refunds not included within this policy will be determined by the Director of Parks and Recreation.

 

Abbreviated Policy Statements

 

The policy statement will be publicized in each trimester brochure and on each registration sheet for public benefit. An abbreviated version explaining particulars for a given program will be acceptable.

 

Instructional Programs Refund Policy

A student wishing to withdraw from a class that has not been canceled by the department must request a refund in writing at least five working days before the scheduled start of a class. The student may receive a 100 percent credit good for one year or may request a refund minus a $5.00 processing fee per participant per class. After the five working day period, refunds will not be given except for verified medical/hardship cases.

 

Youth Athletic Refund Policy

 

Registration fees are 100 percent refundable when a team or league is canceled by the department. A player wishing to withdraw from a team or league that has not been canceled by the department must request a refund in writing at least five working days before the first scheduled league game. The player may receive a 100 percent credit good for one year or may request a refund minus a $5.00 processing fee per player per team. After the five working day period, refunds will not be given except for verified medical/hardship cases.

 

Adult Athletic Refund Policy

 

Team fees are 100 percent refundable when a league is canceled by the department. A team wishing to withdraw from a league that has not been canceled by the department must request a refund in writing at least five working days before the first scheduled league game. The team will receive a refund minus a processing fee computed at 25 percent of the team fee. Credit slips are not applicable to team refunds. After the five working day period, refunds will not be given except for verified medical/hardship cases.
