SISTER CITIES COMMISSION
Minutes of August 15, 2002 Meeting.

Present: Barry Mitsch, Chair to the Commission, Samuel Fudzie, Nadette Welterlin-Hugg, Mary Lou Addor, Sharon Hannigan, Jinnie Davis, Steve Morrison, Janice Stolzenberg, Julie A. Robison, Council member - Town of Cary, Ms Missy Eide and Ms Eleanor Ray both of La Farm Bakery, Cary.

The meeting was called to order at 7.30 pm

Previous Minutes: Sharon Hannigan called for the minutes of the July 18, 2002 meeting to be accepted. The motion was seconded by Nadette. The members by voice votes accepted the minutes of the July 18, 2002 minutes.

Treasurer's Report: Barry informed the members that the Treasurer, Tom McCuiston is resigning from the commission. Barry further informed the members that $2,100.00 of the Associations funds at the bank have been committed to Maupin Travel towards the payment of the deposit for the trip to Ireland. This will leave a balance of around $500.00 in the association's account at the bank. Barry will follow up with Tom McCuiston to retrieve documents relating to the accounts as well as the checks that have not as yet been deposited into the association's account at the bank.

Lazy Daze: Ms. Missy Eide and Mr. Eleanor Ray of La Farm Bakery led discussions relating to the various types of La Farm's products to be sold by the commission members at the August 24 Lazy Daze, the booth/tent set-up arrangements, the delivery of products to the booth, pricing, handling of funds, payment for products delivered to the association, and taking down the booth at the end of the day.

Steve informed members of the notice he had received from the organizers of the Lazy Daze regarding Friday, August 23rd set up organizational meeting. Steve plans to attend the meeting. Barry will check to see if he can also attend the meeting. Set-up of the booths will immediately follow the organizational meeting until 8.00 pm. Mary Lou offered to assist in the set-up of the association's concession space number 8.

Members volunteered items that will be needed at the booth. Sharon brought in the cash box. Julie Robison offered to provide a standing electric fan. Barry offered to provide a table and soccer mom's chairs. Ms Eleanor Ray offered to provide a couple of tables. Other items that will be needed are calculators, cutting boards and bread knives.

Steve will use his pick-up truck to pick up the tent, the tables and other items from Barry and Ms. Ray.

La Farm Bakery will provide the bread case, table linen, baskets to display, 8 t-shirts, aprons, signs for bread with retail pricing, packaging/bags for customers, easel and chalkboard, saran wrap and one staff member.

Water Sales - The members of the commission discussed and agreed not to sell water during the Lazy Daze. Mary Lou will still pursue her arrangement to have some sponsor provide water as a courtesy to the members who will be taking turns to sell at the both as well as some customers who may need the water.

Coffee Sales - It was suggested that future Lazy Daze sales of La Farm's Bakery products should include sale of coffee to compliment the sale of the bakery products.

Information on the Sister Cities Association of Cary and La Farm Bakery will be available at the booth.

Ireland Trip: Sharon provided information on Maupin Travel's arrangement to date as regards to the Commission's planned 10 day-trip to Ireland (May 24, 2003 - June 3, 2003). The plans to date will have the entire group together in Dublin - Navan (County of Meath) May 25 through May 29th. An optional escorted motor coach tour is being planned for Navan -Shannon May 29th - June 3rd. Arrangements are available also for optional fly and drive programs for the May 29th - June 3rd portion of the trip. Sharon further provided the pricing for the Air Transportation (RDU - Meath), the Country of Meath Tour, the Optional Motor Coach Tour, Optional Fly/Drive Program and the recommended insurance policy.

Full details of the trip will be available to be promoted by the members during the August 24th Lazy Daze event.

Celtic Festival: Sharon updated members on the September 14, 2002 Celtic event at the Regency Amphitheatre. Maupin Travel will have a booth which they will share with Sister Cities Association of Cary. Maupin Travel will market the Ireland Trip as one of the products during the Festival. Maupin Travel will have two complementary tickets for members of the commission who will volunteer to work at the booth.

Le Touquet: Nadette reported to the members that Adrien, the student from Le Touquet who just visited with the Town and had many of the commission members involved with him in several activities wrote back to say that he had a good time with the host family, the members of the commission and the Town. He wants to come back to visit with the Town.

Nadette further spoke on her plans to promote a two week student exchange program in 2003 between the students of Cary schools and Le Touquet schools. The commission agreed to have the students exchange program. Nadette will initiate plans for the exchange. She will again write to the various Cary and Raleigh schools and will connect with the Le Touquet liaison on the planning of the exchange.

Discussions were made as to which Town of Cary's programs and facilities the Town of Cary can provide or at least subsidize for the exchange students from Le Touquet. Council member Robison offered to take up the issue with the town.

Nadette further called for a representative of the Town of Cary's Parks, Recreation and Cultural Resources Department to be appointed as the permanent staff liaison to the commission. Mrs. Robison, promised to take up the issue with the Director of the Parks, Recreation and Cultural Resources Department.

Le Touquet Film Festival - Members were informed of Le Touquet's invitation to the Town of Cary to Le Touquet's November 15th - 17 Film Festival. Steve Morrison of the commission expressed his interest to go and represent the Town. No decision is yet made as to any member of the Town of Cary's Council or staff will attending the Festival. Barry suggested that the aassociation should consider paying part of Steve's expenses to attend and represent the Town of Cary at the film festival.

Sister Cities Association of Cary: Nadette stressed the need for the commission to push for an active Sister Cities Association of Cary that will collaborate with the commission to promote Town of Cary's Sister Cities Programs. Members agreed that September through December 2002 should be focused on promoting the association.

The Commission's October 2002 meeting will be held at association's meeting. Nadette to check and book a room for the meeting at the Page Walker.

The meeting was adjourned at 9.10 pm.

The commission's next meeting will be September 19, 2002.
