Old/New Business:

1. Planning Director Jeff Ulma was present to discuss the Town’s area plans and possible methods of expanding the Town’s communications efforts regarding these plans. Mr. Ulma provided the Board with examples of existing communications procedures the Town uses when working on area plans. Board members asked several questions of Mr. Ulma, some of which follow:

- Does the Town use other mechanisms to communicate with residents regarding planning? We utilize a whole array of approaches: direct mailings to property owners, e-mail notification lists, website info, advisory committees, community open houses, surveys, on-line discussions, etc.

- Can the Town partner with existing groups such as Kiwanis, Rotary, etc., to disseminate

planning information? Yes.  We will need to obtain contact info and can then share information about upcoming meetings or activities.  Staff often attends such meetings to make presentations.

- What are the criteria for having public input sessions? There are no specific requirements except for certain public hearings.  But since we believe in public involvement, we provide many more opportunities as a matter of practice.

- Does the Town follow up with citizens after meetings to discuss area plans? Not usually.  But we have surveyed participants to find out their perspectives on our public involvement processes.

- Can the Town add a layer to Maps Online to label new projects and/or structures? Yes, we are working to include such info on Maps Online.  We already provide spreadsheet listings of projects that are under review or that have been approved.
